The Irvine location of WATG is hiring a temporary Mandarin speaking Administrative Assistant.
SUMMARY OF POSITION:
The position reports to the Office Manager and may also report to a Project Manager and/or Managing Director and is responsible for providing office, clerical, translating and marketing support to one or more Project Managers, and possibly several department staff members. Must be available for overtime or off hours as needed, regular working hours are 8:00 a.m. to 5:00 p.m.
JOB REQUIREMENTS:
Position requires initiative and judgment to plan, prioritize, organize, and perform duties. Must be prepared to respond to multi-task job schedule for daily routine, maintain high levels of concentration and attention to detail, and work with a team approach to accomplish tasks. Have strong verbal and written communication skills; ability to effectively gather and disseminate information and respond to questions from groups of mangers; and be proficient with Windows Office Suite, Outlook and Adobe Suite, including InDesign. Must maintain professional appearance appropriate for job tasks and maintain proper business etiquette. This position requires three years experience as general office support in a small to mid-size professional service firm and must successfully read, write and speak fluent Mandarin.
MAJOR RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
Assist project team(s) for hospitality and entertainment projects in various phases of design
Coordinate with Marketing and Business Development department on special events
Proofread and edit all outgoing correspondence the project team(s) generates, in English and Mandarin
Prepare meeting agendas and type meeting minutes, in English and Mandarin
Organizes and files team(s) paperwork; maintains documents storage for both computer files and hardcopy files; and coordinates retrieval of archived files
Communicate fee proposal data and new business development letters with marketing department
Assist in brochure preparation when necessary
Assist in completion of qualification packages and project information gathering
Word-processes and distributes business communications such as memos, letters, faxes, transmittals, programs, schedules, and spreadsheets in accordance with office standards
Order special meals and accommodations necessary for team meetings
Maintains absolute confidentiality and security
Maintains and coordinates project team (s) schedules, coordinates meetings, team travel arrangements, and meeting facilities
Prepare travel expense reports for Project Manager and those designated by him/her to require this support
Reconciles monthly company credit card statement for executive to ensure receipts are submitted in a timely manner and all expenses are properly coded to appropriate project number
Track reimbursable expenses for project
Assist project team in organization and procedures
May assist other administrative or executive assistants at the direction of the Office Manager/Managing Director
Oversee team in organization and procedures or changes in procedures and work load situations as directed by Office Manager
Coordinate office neatness, repairs, improvements, expansions, or modifications as directed by Manager and maintain the records
Receptionist relief as requested by the Office Manager
